How to Explain Lodging to Your Guests

One of the things we love most about The Black Diamond Lodge is the possibility to have all of your favorite people under one roof for your event. However, we know it can be difficult to explain to your guests how our unique accommodations work!

THE BASICS 

The Black Diamond Lodge sleeps 46 guests in 12 rooms. 9 of these rooms are “hotel style” rooms, meaning they have a king, queen, or two queens, as well as a private bathroom. The remaining three rooms are “bunk style” rooms, meaning they sleep up to eight people, but all still have private bathrooms. While we call them “bunk” rooms, they don’t actually have any bunk beds, just a series of twin beds, some of which can be combined into kings to accommodate your guests! 

THE DETAILS

Rooms 1-6 are dog friendly for a one time $50 deposit. We kindly ask that you do not have dogs staying in rooms 7-12 to accommodate any allergies/preferences. Rooms 1-7 are on the ground floor, rooms 8-12 are upstairs. We are able to provide additional rollaway beds or Pack’n’Plays in any room requested. Rooms 2 & 4 are handicap accessible.

THE HOW TO

Because you get the whole lodge to yourselves when you book with us, you are able to arrange guests in any way you see fit. However, individual guests do not book the rooms themselves, but rather you (the couple/booking party) assign who you want, where. We strongly suggest that you do not list The Black Diamond Lodge as a “place to stay” on your wedding website, but rather directly tell the guests you want to stay in the building that they have a room. When you list us as a place to stay for guests, we get a lot of calls inquiring about booking a room and have to awkwardly tell them that we don’t have a room for them! Many couples choose to have their bridal party, immediate family, and close friends stay in the lodge and have other guests attending the event find additional accommodations nearby (we are happy to provide suggestions!) This also gives you freedom to decide how much you want each guest to pay. Many couples/booking parties decide to cover a portion of the lodging costs and pass the rest on to guests. You can charge any pricing structure you want and we will collect payment from guests upon check in, applying all payments to your final invoice. If there is an overage of payment on your invoice, all money will be refunded to you. Once you have made these decisions, you are responsible to tell us who is going to be sleeping where by filling out our ROOM ASSIGNMENT WORKSHEET. 

WHAT TO TELL GUESTS NOT STAYING IN THE LODGE

We know it can be awkward to explain to a guest that they are not able to stay in our lodge, so we suggest something like this: “We have reserved the lodge for our bridal party and immediate family, however, we would love for you to stay nearby! HERE is a list of some suggestions. You are welcome to use any of the amenities that the lodge provides because you are a guest of ours!”

WHAT TO TELL GUESTS WHO ARE STAYING IN THE LODGE

When you assign a guest to stay in a room, they do not need to call us and reserve their room or pay ahead of time. We suggest telling these guests: “We’ve reserved a room for you at the lodge, you will pay upon check in and can expect to pay $--- when you get there. No need to call the lodge to reserve as we have already booked the entire place directly. For more info on the lodge, check them out HERE.
